Proactive communication

What is it?

Proactive communication is the practice of sharing information in advance – before someone has to ask for it or before a possible issue escalates. Communication is planned, flexible, and provides clear information. It’s about anticipating questions, concerns, or challenges, and addressing them early so that everyone stays aligned and informed.

  • Reactive communication is responding only when someone asks a question or when an issue arises.
  • Proactive communication is reaching out first with updates, clarifications, or potential solutions.
What does proactive communication look like in college?
  • Email instructors in advance, about planned absences or questions.
  • Form relationships with instructors and peers.
  • Schedule appointments with a tutor when something is unclear prior to the due date.
  • Schedule appointments with your academic advisor well before registration.
  • Schedule personal appointments outside of class time.

Communication tips

  • Prior to reaching out to your instructor, review your syllabus.
    • Many questions can be answered by the syllabus.
    • Some instructors provide specific information about the best way to communicate with them.
  • If you receive communication that elicits an emotional response, hold off from responding until you are calm.
  • Be as clear and concise as you can in your communication.
  • Proofread your communication before sending/posting.
  • Check your PCC email regularly and often!
