Job Summary
Provides a variety of administrative support services including tracking and monitoring budget expenditures and deposits; district-wide distributor for parking permits; coordinating the sale and invoicing of guest and special event bulk parking permits; work is more specialized and employee apply judgment in resolving discrepancies and interpreting and adapting guidelines.
Typical Duties and Responsibilities
- Tracks and monitors budget expenditures and deposits. Reconciles budget records against college database budget reports. Processes the transfer of monies as required to keep accounts balanced. Assists the manager with budget projections and generates fiscal reports.
- Serves as the primary point of contact and district-wide distributor for parking permits. Coordinates the sale and invoicing of guest and special event bulk parking permits for internal departments, external businesses, and government agencies. Manages all related correspondence, issues permits, and arranges parking lot reservations when needed.
- Processes all department billings, invoices and purchase orders. Authorizes limited budget expenditures up to authorized amounts.
- Prepares invoices, monitors payment collection, and maintains accurate, detailed accounting records.
- Consults with and provides assistance to management regarding policies and procedures related to area of responsibility. Assists in researching, developing and interpreting administrative policies and procedures for district-wide finance processes. Develops documentation as required. Applies knowledge of multiple federal and state rules and regulations to maintain compliance.
- Works dates for production scheduling, investigates infrastructure performance, performs application and database performance tuning, performs system integration, data archiving, designs and implements appropriate security and access control, and performs system monitoring.
- Assists with year-end closing for area of responsibility. Monitors dates and ensures unit staff is aware and comply with closing timelines. Assists auditors with annual audits.
- Uses various software programs to input, maintain, research, and retrieve information. Interprets programming scripts, and performs testing of systems to determine reliability of relational databases. Searches for anomalies in programs and coordinates edits/changes with appropriate personnel. Makes recommendations for improvements to systems and processes. Assists with the implementation of business processes. Communicates programming requirements to appropriate college technical staff and other pertinent parties, and ensures that changes are made according to specifications. Maintains integrity of data through frequent monitoring and adjusting of balances in various forms and tables.
- Communicates technical and confidential student and financial information to college staff, student employees, and vendors and outside entities. Responds to and resolves internal and external questions and concerns.
- Coordinates special projects to accomplish department objectives and other tasks requested by the department manager.
- Resolves operational problems related to sale of parking permits. Investigates situations and complaints, and recommends solutions
- Trains, guides, prioritizes assignments. Functions as technical resource regarding accounting principles and procedures and the application of federal and state rules and regulations.
- Attends conferences and workshops to maintain updated knowledge of regulatory policies and procedures affecting area of responsibility.
- Addresses numerous department complaints and concerns.
- Provide support to office staff in the areas of purchasing, procurement, and contract administration.
- Maintains accurate files and records.
Positions in this classification may perform all or some of the responsibilities above and all positions perform other related duties as assigned.
Minimum Qualifications
BA in business technology or other office related area. Related experience performing the duties of the job may substitute on a year for year basis. Two years of office support experience required including substantial customer contact.
Work Environment and Physical Requirements
Work is performed primarily in an office environment. Learned physical skill required to perform keyboarding. Minimal physical exertion is usually required.
Knowledge and Abilities
Knowledge of:
