Job Summary

Under the direction of management, the Logistics Specialist II receives, forwards and stores merchandise for user departments. This includes logging all incoming packages and freight and coordinating their delivery. Processes all outgoing mail using mail machine, as well as receives and distributes all incoming mail from CDS mailbox. Provides customer service by communicating with College staff, via email and phone, regarding status of incoming, outgoing and delayed or lost packages. Creates weekly and monthly package, freight tracking and mail machine postage reports. Creates financial reports, providing on-demand analysis and price assessments for CDS, Purchasing and Bookstore Managers. Oversees and tracks custodial inventory and manages Print Center paper inventory. Interpersonal contacts primarily include Central Distribution Services peers, College staff, external delivery services, manufacturers and local businesses.

Distinguishing Characteristics

This is the second level of the Logistics Specialist series in which work is with external delivery and mailing/shipping providers. Responsible for producing journey-level work output on an independent basis subject to supervisory direction and review. In addition, produces multiple reports on a regular basis. Work is primarily focused on internal and external operations and support due to the nature and scope of the deliveries and surplus. Employees are constantly moving (deliveries and pick-ups throughout the district on a daily basis). As work can be performed away from the warehouse, work is performed independently and may need to exercise judgment in some situations.

Typical Duties and Responsibilities

  1. Classifies and processes outgoing mail and materials for College operations, ensuring accurate and timely dispatch.
  2. Ships goods/merchandise via U.P.S. and various freight carriers. In the event of damage or incorrect shipments, packs and returns items to the vendor, in accordance with vendor guidelines and carrier regulations.
  3. Receives incoming mail and shipments of merchandise; transports to storage area, or arranges for transfer. Verifies count with packing slip/invoice, notes and records any shortages/overages.
  4. Operates forklift, pallet jack, and/or hand truck to transport goods.
  5. Conducts inventory of goods and equipment as required. Works with purchasing and accounts payable departments on matters concerning proper location of goods, complete/incomplete purchase orders and requisitions and location of necessary paperwork to complete and ship orders.
  6. Organizes and maintains storage area in a safe and efficient manner.
  7. Provides information, takes and processes orders in the work management system via telephone or in person.
  8. Sorts, loads, transports and delivers materials, equipment and/or supplies to various locations throughout the college district within a specific timeframe. Assists staff with small office moves and provides support for property relocations across the district.
  9. Checks in daily with the lead or manager for route assignment, delivery schedule and other assignments as needed.
  10. Signs and maintains accurate delivery documents; distributes documents to appropriate departments. Monitors records of deliveries.
  11. Employs the safe use of material handling equipment (lift truck, pallet truck, hand truck, furniture moving dolly, carts, etc.,) to move/deliver, and pick up boxes, office furniture, equipment, and other college materials.
  12. Follows safety procedures at all times and uses proper lifting techniques to ensure personal health and safety.
  13. Maintains a clean and safe work environment. Participates in initial and ongoing training in the safe handling and transport of chemicals and other potentially hazardous material.
  14. Drives cargo van or truck to deliver and pick up equipment, books, furniture and other merchandise throughout the College district and Portland area businesses and schools.
  15. Drives a variety of College vehicles (in all types of weather and road conditions) in densely populated and congested metropolitan areas, as well as urban, suburban, rural environments while operating in a safe and courteous manner, following PCC rules, policies, and obeying traffic laws.
  16. Performs and schedules preventive maintenance, servicing, fueling and recordkeeping of College vehicles. Arranges for other repairs or notifies the lead or manager regarding any maintenance issues as needed.
  17. Provides training and guidance to other staff and alternative learning students, work study and student help.
  18. Performs other related duties as assigned.

Work Environment and Physical Requirements

Work is primarily performed in a non-office environment with exposure to equipment noise and exhaust fumes. Interruptions occur on a regular basis. Exposure to adverse weather conditions while making deliveries throughout campus and to external delivery services. Transports hazardous chemicals and toxic substances occasionally.

Lifting up to 50 lbs. Loading/Unloading of vehicles as well as two-person lifts in the movement of surplus (i.e. chairs, tables, lateral files, office equipment) and misc. items as well as office moves.

Minimum Qualifications

High school diploma or equivalent; one year of experience related to materials handling including tracking and delivery. Basic knowledge of computer data entry/retrieval procedures.

Must possess and maintain a valid driver’s license to operate a motor vehicle in the State of Oregon, and possess an acceptable driving record including three years of accident-free driving, with no recent moving violations. Must acquire Forklift Operator certification within six months of employment.
