Job Summary

Under the direction of management, the Logistics Specialist I distributes supplies and support materials, and processes incoming and outgoing mail within each College location. This includes establishing, designating, and coordinating mail routes, mail stops and schedules, across multiple campuses and learning centers. Creates an updated reference list of current employees and their assigned mail stop at each campus. Transports and delivers parcels, interdepartmental and U.S. mail, according to College and U.S. Postal Service requirements and regulations, along a specific route to designated mail stops on each campus. Uses handheld electronic logging and chain of custody tracking system to scan, route, record and track deliveries to specified locations and make photographic records documenting deliveries.

Distinguishing Characteristics

This is the first level of the Logistics Specialist series in which the work is primarily focused on internal College operations and support.

Typical Duties and Responsibilities

  1. Classifies and processes outgoing mail for all College operations for accurate and timely dispatch. Sorts incoming mail for delivery. Looks up unfamiliar staff members and forwards mail to appropriate locations.
  2. Assists in processing College bulk mailings in accordance with College procedures and U.S. Postal Service requirements for accurate and timely dispatch.
  3. Coordinates and monitors large, high volume print jobs of College mailings and ensures accurate and timely job completion, including quality control, maintenance and troubleshooting.
  4. Operates and maintains College owned folder/inserting equipment for preparing large and time sensitive mailings.
  5. Makes deliveries and pickups of mail, small parcels, and packages to selected mail stops throughout the college. Complies with transportation and OSHA regulations regarding the safe handling of hazardous material and heavy objects.
  6. May assist, as requested, Central Distribution Services with the delivery of packages, print paper, pick-up and or delivery of surplus material, assisting with department moves and other related activities.
  7. Provides information concerning postal and College regulations via phone and in person in regards to mail related activities during busy and high volume periods.
  8. Performs related record-keeping including computerized cost center charge-back, system, delivery log, chart of accounts and reconciles College account ledger with Post Office transaction report. Tracks postage funds to ensure adequate amounts are maintained in the Post Office accounts to accomplish College mailings.
  9. Maintains current knowledge of U.S. Postal Service and other delivery regulations.
  10. Performs routine maintenance on mailing equipment. Arranges for repairs from commercial sources if necessary.
  11. Unloads and logs in shipments from various sources. Stores and forwards to proper location.
  12. Maintains mailroom supplies.
  13. Maintains a clean and safe workplace. Follows safety procedures and uses proper lifting techniques to ensure personal health and safety. Participates in initial and on-going training in the safe handling of chemicals and other potentially hazardous material.
  14. Operates forklift, pallet jack, hand truck, and delivery van.
  15. Performs other related duties as assigned.

Work Environment and Physical Requirements

Work is primarily performed in a non-office environment with exposure to equipment noise and exhaust fumes. Interruptions occur on a regular basis. Exposure to adverse weather conditions while making deliveries throughout campus and to external delivery services. Transports hazardous chemicals and toxic substances occasionally.

Lifting up to 50 lbs. Loading/Unloading of vehicles as well as two-person lifts in the movement of surplus (i.e. chairs, tables, lateral files, office equipment) and miscellaneous items as well as office moves.

Minimum Qualifications

High school diploma or equivalent; one year of experience related to materials handling including tracking and delivery. Basic knowledge of computer data entry/retrieval procedures.

Must possess and maintain a valid driver’s license to operate a motor vehicle in the State of Oregon, and possess an acceptable driving record including three years of accident-free driving, with no recent moving violations. Must acquire Forklift Operator certification within six months of employment.
