Job Summary

Under the direction of management, the Logistics Lead assigns, tracks and closes out all work orders in the asset management system (AiM). Responsible for planning, directing, managing, leading daily department operations and activities. Determines staffing and equipment needs to ensure productivity results and goals are met. Overseas staff training and professional development needs, assists management with performance evaluation of existing staff and provides input regarding department staffing needs and new employee selection.

Distinguishing Characteristics

This job is the Lead for the Central Distribution Services (CDS) Team which supports the College by providing services related to incoming and outgoing mail, packages, property, surplus and archives. This classification is distinguished from the Logistics Specialist series by the requirement to plan and lead daily operations.

Typical Duties and Responsibilities

  1. Assists the Central Distribution Services Manager in the day-to-day operations of the department including training staff and student workers; scheduling and monitoring the work and providing input to the supervisor on employee performance.
  2. Functions as the College representative for on-line supply ordering; works with contracted vendors and College departments to ensure orders are purchased, received and billed in a timely and efficient manner. Prepares blanket orders and purchase orders on-line using the College mainframe computer system.
  3. Coordinates and processes freight claims, damages, shortages and returns; works on behalf of the College to resolve related issues.
  4. Maintains central stores inventory items at the appropriate stock levels for distribution to College district.
  5. Performs office support duties such as answering phones, photocopying, preparing correspondence, scheduling meetings, taking minutes, filing and data entry.
  6. Manages financial data for College fleet and on-line supply ordering. Sends monthly charges from supplies, postage, fleet and other related areas to accounting. Researches and resolves billing discrepancies.
  7. Works with the College Publications Department to maintain adequate stock levels and timely distribution of publications throughout the district.
  8. Serves as backup to logistical areas; operates departmental equipment as needed (e.g. forklift, pallet jack etc.).
  9. Drives College vehicles to make pickups and deliveries throughout the district.
  10. Serves as lead worker over CDS driving staff. Formulates and directs daily work assignments to ensure safe, timely, and efficient delivery and/or transfer of supplies, support materials, equipment, furnishings, and other items to all college campuses, centers, and outlying locations.
  11. Ensures smooth and efficient workflow. Provides guidance to drivers and other stakeholders in resolving delivery/transfer issues throughout the District in a timely manner. Escalates issues as appropriate.
  12. Performs daily pick up and deliveries to and from various college locations as well as other organizations in the State.
  13. Loads and unloads cargo and uses material handling equipment. Acts as a point of contact and resource for CDS drivers with issues.
  14. Administers preventive maintenance program for CDS vehicles and material handling equipment; maintains and monitors service and utilizations records. Performs minor vehicle maintenance and arranges for other repairs as needed.
  15. Signs and maintains delivery documents. Monitors records of deliveries.
  16. Assists Fleet Manager with College vehicle usage records, procurement, and monitoring compliance with DEQ motor vehicle testing requirements.
  17. Monitors department driver staff and vehicle fleet operation. Recommends measures to improve safety, minimize risk, and promote best practices regarding use of equipment and avoiding hazards.
  18. Maintains and ensures a clean and safe work environment. Follows safety procedures and uses proper lifting techniques to ensure personal health and safety as well as safety of others. Participates in on-going training in the safe handling of chemicals and other potentially hazardous materials.
  19. Positions in this classification may perform all or some of the responsibilities above and all positions perform other related duties as assigned.

Work Environment and Physical Requirements

Work is primarily performed in a non-office environment with exposure to equipment noise and exhaust fumes. Interruptions occur on a regular basis. Exposure to adverse weather conditions while making deliveries throughout campus and to external delivery services. Transports hazardous chemicals and toxic substances occasionally.

Lifting up to 50 lbs. Loading/Unloading of vehicles as well as two-person lifts in the movement of surplus (i.e. chairs, tables, lateral files, office equipment) and misc. items as well as office moves.

Minimum Qualifications

High school diploma or equivalent; two years of experience related to inventory and asset management.

Warehouse Lead:

Post-secondary education or training in business technology, general accounting, recordkeeping or related area. Additional relevant experience may substitute for post-secondary education. Related work experience may include warehousing, inventory ordering and control, and material handling.

Fleet Lead:

Two years of professional driving experience with light and medium duty trucks (Class 2 through 6, less than 26,001 lbs. GVWR), or equivalent vehicles.

Possess an acceptable driving record including five years of accident free driving, with no recent moving violations.

Knowledge, Skills, and Abilities

Knowledge of:

  • Vehicle power train, body, chassis, and electrical systems to administer preventive maintenance and service program.
