New Club Orientation Glossary

Travel


Clubs may use club funds or fundraise to travel to conferences, lectures, meetings or group trips.  In order to process your request, the Clubs Office will need to receive your Request for Clubs (form #11) as well as your travel form (#5) at least one month before the conference.  You will need to provide a Hold Harmless Agreement for each student who travels with your group.  PCC requires the Hold Harmless Agreement (form #10) for insurance purposes. You can find all forms outside the Clubs and Programs Office or under the forms tab. 

Clubs leaders must also collect emergency contact information for all traveling parties and submit it to the Clubs and Programs Specialist at least one week prior to the travel date.  Please attach a travel itinerary to this information. 

Funding

Conference Agreement

All travel must be approved by your club advisor and the Club and Programs Specialist. Club members will be required to fill out a Conference Travel Agreement form which states, you will pay back to the ASPCC any monies if you do not attend the conference in its entirety. 

Reconciliation

All receipts are to be brought to the Club and Programs Specialist no later than 5 days after your return.
