Academic Standard and Policies
April 22, 2009
Present: Tiffany Dollar, Simone Frank, Taylor Hanna, Craig Kolins, Virginia Somes, Michael Sonnleitner, Phil Thurber
EAC Update: The Honor Roll Policy was approved with some minor changes, the Instructor Qualifications was approved with some rearrangement, and the S704 Syllabus Policy was approved.
A recommendation went to the EAC from the Curriculum Committee to drop S702 Special Topics Policy altogether because the title did not convey what its intent was. The body of the text talked about experimental courses not special topics. The EAC approved the removal of S702 and replaced it with a new policy E202 Experimental Courses.
Kendra Cawley has joined the Curriculum Office and she was given the task by Chris Chairsell to make sure that the Academic Standards and Practices Handbook was up to revision.
Grading Guidelines: Questions came up at the EAC about some changes in wording and clarification on replacing grades in the policy.

Action: Taylor will ask Veronica how grades get recorded and counted on transcripts when courses have been repeated.
Repeated Courses alternative bullets, depending on Veronica’s answer:
- All grades earned will appear on the transcript.
- The first grade of P for a repeated course will exclude only the first or most recent grade mark of D, F or NP or mark of I, CIP, and CIPR for the course.
- For the purpose of GPA calculation the first grade of A, B, or C, for a repeated course will replace only the first or most recent grade of D, F or NP or mark of I, CIP, and CIPR for the course.
Grade Changes Bullet Revisions:
- All grade change requests must be submitted by the Instructor within one year of the end of the course, including grade changes made as a result of resolving the disputed grade.
- If a grade result cannot be resolved with the Instructor, the Student may follow the student grievance or complaint procedure.
Pass/No Pass System, 2nd Bullet Revision:
- Transfer Students should be aware that four-year institutions limit the number of pass/no pass credits that may be applied to a degree and frequently recalculate the Student’s grade point average by weighing each P as if it were a C or D and each NP as if it were an F from the traditional graded system.
Action: Taylor will get the revisions done and send to the committee.
Subject Area Committees: Sent S701 to the Division Deans and they came back with three changes. 1) change “Administrative Liaison” back to “Division Dean”, 2) took out a “, they” and they want it back in again, 3) Equipment purchases
Action: Taylor will let the committee know about the equipment purchases changes at the next meeting.
Chris Chairsell gave a note to Taylor at the EAC meeting regarding the responsibilities of the Vice President of Academic and Student Affairs position. She was concerned that there be a statement in here somewhere about what the role of this position is because of the unique nature of the position when compared to other colleges around the country.
Action: The committee agreed to put the statement in before the bulleted lists starts under Administrative Liaison.
Next Meeting: Wednesday, May 27, from 3 – 5PM, CPWTC
