What can be submitted

There are many different types of materials that can be placed on reserve.

  • Books (from library or personal copies)
  • Textbooks
    • Instructors wishing to reserve textbooks are responsible for obtaining them.
    • If the books are purchased or donated to the library, there is no limit to the number of copies that can go on reserve.
    • If the books are faculty-owned, the library will place up to 3 copies of each textbook (per campus) on reserve.
    • Instructor copies of textbooks (evaluation copy, examination copy, complimentary copy, desk copy, personal copy) can be placed on reserve for 2-hr or 3-hr library use only.
  • Photocopies or scanned magazine articles
  • Videos/DVDs
    • Personally-owned (purchased)
    • Library-owned (can be placed on reserve for up to 2 weeks at a time)
  • Sample exams, homework and solution sets
  • Lecture notes or powerpoint slides
  • Student produced materials (Note: Students must sign a student informational release form to have their materials put on reserve.)

How to submit

  • Fill out the reserves submission form.
    • For personally-owned items: Type in your information, print the form and bring it to the library with your materials.
    • For library-owned items: Type in your information and submit the form using the campus button. Reserve staff will locate and process the material. (Note: You will be notified if submitted items are currently checked out and when they will be available for reserve use.)
    • For e-reserves: Type in your information, attach your file or URL (maximum file size of 4 MG) using the browse button, and submit the form by selecting the appropriate campus button .
  • Submission guidelines:
    • Submission form: Incomplete submissions will be returned. Reserves processing will be delayed until required information is obtained.
    • File size: Please optimize to enable faster download speeds. CSS can help you.
    • Copyrighted materials:
      • Photocopies and digitized materials may be placed on reserve for one term while you seek permission from the copyright owner. See: Copyright Clearance Services
      • When a copy of the permission has been obtained, forward it to your campus Reserve Specialist
    • Submitting links for electronic magazine articles
      • Example: Search for an article in the Ebscohost database
      • Click on the title
      • Scroll down the page until "Persistent link to this record (Permalink)" is located
      • Copy persistent link and paste into the reserves submission form under Format-Electronic-URL
      • Ask a librarian if you need persistent links in other databases
    • Submission time periods
      • Photocopies and electronic files of copyrighted materials may be kept on reserve for one term. If longer use is required, permission must be granted from the copyright owner.
      • Faculty-owned materials may stay on reserve for as long as the Instructor deems necessary.

Reserves processing

  • Beginning of term
    • Requests are processed in the order in which they are received. Items submitted prior to the start of term will be available in 1-2 days.  Items submitted late may take longer.
    • When processing is complete, you will receive an email.
    • E-reserves: A course password will be assigned to all copyrighted materials. It is your responsibility to give the password to your students; library staff will not give out course passwords.
    • The following labels will be placed on your reserve materials:
      • Copyright notice: This material may be protected by copyright law (Title 17 U.S. Code)
      • Copyright: Do not Duplicate label (CDs and textbooks with chapter exercises)
      • Library barcode
      • Class and Instructor spine label
      • Security strip (unless otherwise requested)
  • End of term
    • Personally-owned items being removed from reserves can be picked up at the campus library checkout desk.  Items not picked up will be returned through intercampus mail.
    • Library-owned items will be returned to library shelves.
    • E-reserves: Items being removed will be placed in “inactive” status for a period of one year.  Items that have not been reactivated during that time will be deleted.
