NATURE AND SCOPE OF WORK:
Under the direction of the Foundation Executive Director, provides support and assistance to the Foundation office by planning and coordinating fundraising activities such as special events, campaigns and donor recognition programs. Conducts solicitations with potential contributors for event sponsorships and special funds made through endowments, trusts, donations of gifts-in-kind or bequest. Oversees the work of casual and student interns.
PRINCIPAL ACCOUNTABILITIES:

Assists the Foundation staff and board members with the development and implementation of special events, fundraisers and other projects by handling logistics such as creating invitations and marketing collateral materials; developing and maintaining guests lists; soliciting sponsors and tracking sponsorship payments; gathering and preparing registration materials and providing other related administrative support.

Works with Foundation Prospect Researcher and Development Officers to conduct preliminary research on prospective corporate foundations and individual donors, which involves examining past giving records for a defined time period based on type of event or constituent activity (i.e. Fall mailing to community friends, Spring mailing to alumni).

Works with Alumni/Annual Fund Coordinator, Major Gifts Officer and Database Coordinator to organize direct mail campaigns by updating template letters to be sent to different target groups.

Assists with the creation and organization of donor recognition programs to honor donors and corporate givers as part of an overall Foundation donor recognition program. Serves as a main point of contact with donors for event planning purposes once gift is completed including coordinating and assigning thank you calls to be made by volunteer board members, contacting donors to see if they will attend an event after an invitation has been sent and coordinating phone pledge drives.

In support of volunteer Board members utilizes RaiserEdge database to monitor results of solicitation drive pledges from individual, corporate and foundation donors.

Through email and phone calls conducts smaller dollar solicitations with potential contributors and encourages individuals, corporations and foundations to establish or contribute to special funds through endowments, trusts, donations of gifts-in-kind or bequests.

May train and coordinate the work activities of casual staff and/or student interns. Assigns and monitors work relating to records management and preparation of letters.

Assures the confidentially of all data, including sensitive information related to students and staff.

Coordinates productions and mailings of Spring and year-end appeal letters.

Handles all administrative office details associated with the following committees: Alumni, Development, Planned Giving and other committees as assigned by the Executive Director. Duties include preparation and distribution of notices, creation of agendas, drafting of committee minutes, etc.

Prepares and assembles Foundation marketing and publicity materials for distribution (i.e. copying, filing, mailing, e-mailing). Updates website content on regular basis.

Performs other related duties as assigned.
MINIMUM QUALIFICATIONS:
High school diploma or equivalent. Two years of college level course work in business, communications or a related field. Relevant experience may substitute for the college level course work. Two years of related experience in a business office environment preferably with exposure to fundraising, event coordination and volunteer committees. Must be proficient in the use of word processing and database software. Ability to effectively communicate in oral and written form and establish and maintain effective working relationships.
