TITLE: Associate Dean

JOB SUMMARY

Under the direction of the Dean this position works under broad, administrative direction with significant responsibility in planning, organizing, and managing services associated with admissions, information, testing, student employment, cooperative education, and new student orientation. Responds to inquiries from College departments, educational institutions, the community, students, and/or external agencies and supervises administrative professional, classified, technical/support, and student staff.

DISTINGUISHING CHARACTERISTICS

The Associate Dean provides direction in developing, expanding, revising, improving, and ensuring the successful operation of multiple functional areas within Student Services.

TYPICAL DUTIES AND RESPONSIBILITIES

  1. Supervises professional staff, classified staff, technical/support, and/or student staff. Hires, evaluates, trains, disciplines and recommends dismissal of staff as necessary.

  2. Plans, organizes, administers, and manages processes and operations related to assigned areas of responsibility; interprets and applies federal and state mandated guidelines. Plans, implements, administers, and evaluates related projects and services impacting the college.

  3. Establishes, monitors, evaluates, and modifies processes, procedures, and/or standards, ensuring alignment with the College’s mission, values, goals, and objectives, as well as all local, state, and federal laws and regulations.

  4. Serves as a liaison to applicable external agencies, internal departments, and applicable educational institutions representing the College with respect to student services processes and procedures.

  5. Develops and implements improvements to services and programs for the College at the campus and District levels, which involves working closely with Deans and upper management to identify student needs.

  6. Oversees the maintenance of a variety of student and program records and information in assigned areas of responsibility.

  7. Develops and facilitates information sessions, presentations, and/or workshops related to assigned areas of student services, which may include: coordinating and facilitating recruitment events, creating and implementing high school programs, overseeing new student orientation sessions, organizing campus tours and events, participating in the development of District-wide recruitment materials, conducting outreach activities, and/or performing other related activities.

  8. Develops and administers budgets in assigned areas of responsibility; implements and allocates resources following budget approval; approves expenditures.

  9. Evaluates and communicates the impact of potential legal or regulatory changes on the College.

  10. Advises and responds to questions from College departments and external agencies regarding complex issues or policies impacting assigned programs and services.

  11. Positions in this classification may perform all or some of the responsibilities above and all positions perform other related duties as assigned.

POSITION SPECIFIC DUTIES AND RESPONSIBILITIES

Sylvania Campus

Positions assigned to the Sylvania Campus may also be responsible for:

  • Managing and coordinating the needs of the testing office and staff.
  • Reviewing and approving or denying quarterly emergency loans for students.
Extended Learning Campus

Positions assigned to the Extended Learning Campus may also be responsible for:

  • Managing specific programs at the campus in order to increase enrollment by providing specialized services for specific populations within the area, which may include developmental education students, single parents, and/or other identified populations.
  • Investigating and addressing conduct issues in classrooms or any disruption on campus involving a student.
  • Evaluating transcripts to determine if students require high school completion in order to pursue higher education opportunities available at the campus.

MINIMUM QUALIFICATIONS

Master’s Degree and six years of progressively responsible experience managing an academic department in business, industry, or a post-secondary institution.

KNOWLEDGE AND SKILLS

Knowledge of:

  • Managerial principles;
  • Student services administration principles and practices at post-secondary institutions;
  • Records maintenance principles and practices;
  • Budgeting principles and practices;
  • Program management principles;
  • Higher education principles and practices.

Demonstrated Skill in:

  • Supervising and providing leadership to subordinate staff;
  • Developing, recommending, implementing, and monitoring policies, procedures, and work flow;
  • Developing and facilitating information sessions, presentations, and/or workshops;
  • Preparing a variety of reports related to departmental activities, including statistical analysis;
  • Developing and managing a budget;
  • Evaluating assigned programmatic area for compliance with applicable regulations;
  • Speaking in public;
  • Coordinating the preparation and publication of a variety of reports and/or promotional materials;
  • Conducting research to identify solutions, resolve problems, or provide information;
  • Working with diverse academic, cultural and ethnic backgrounds of community college students and staff;
  • Utilizing computer technology for communication, data gathering and reporting activities;
  • Communicating effectively through oral and written mediums.

WORK ENVIRONMENT AND PHYSICAL REQUIREMENTS

Work is generally performed in an office environment with frequent interruptions and irregularities in the work schedule. Learned physical skill is required for keyboarding. Frequent walking, standing, or sitting may be required. Working hours may vary and occasional evening or weekend work is required. No special coordination beyond that used for normal mobility and handling of everyday objects and materials is needed to perform the job satisfactorily.
