Job Summary

Provides a variety of administrative support services including tracking and monitoring budget expenditures and deposits; coordinating the sale and invoicing of guest and special event bulk parking permits; and ensuring employee payroll data is processed and tracked in a timely manner.

Typical Duties and Responsibilities

  1. Tracks and monitors budget expenditures and deposits. Reconciles budget records against college database budget reports. Processes the transfer of monies as required to keep accounts balanced. Assists the manager with budget projections and generates fiscal reports.
  2. Processes all department billings, invoices and purchase orders. Authorizes limited budget expenditures up to authorized amount.
  3. Coordinates the sale and invoicing of guest and special event bulk parking permits to departments, outside businesses and government agencies. Handles all correspondence related to guest and special event permits; issues permits; arranges for parking lot reservations if applicable; issues invoices and oversees collection; keeps detailed accounting records.
  4. Addresses numerous department complaints and concerns. Makes decisions to waive parking citations including removing fines from the Banner system.
  5. Interacts with parking staff regarding policy, personnel issues and budget expenditures.
  6. Ensures employee payroll data is processed and tracked in a timely manner. Tracks employee attendance (sick and vacation days) for time reporting purposes.
  7. Global Positioning System (GPS) coordinator for Parking and Transportation. Responsible for creating and running various reports to determine vehicle and personnel location, timing of bus routes and mileage for service repair. Trains staff how to use system.
  8. Oversees and coordinates Overflow Parking Program and researches ways to utilize overflow parking at PCC campuses.
  9. Acts as a liaison between PCC and the surrounding community. Designs, develops and coordinates the contents of the Cascade neighborhood newsletter which is scheduled to be delivered to residents and businesses in the Cascade community every six weeks.
  10. Assists in coordinating advertising and public relations for the department. Works with Public Affairs, The Insider, The Communities and outside reporters.
  11. Maintains accurate files and records.

Positions in this classification may perform all or some of the responsibilities above and all positions perform other related duties as assigned.

Minimum Qualifications

High school diploma or equivalent. Two years of college level course work in the area of business technology or other office occupations related area. Related experience performing the duties of the job for two years may substitute for the college level course work. Two years of office support experience required including substantial customer contact.

Knowledge and Abilities

Knowledge of:

Personal computers and associated standard office software including word processing, spreadsheets and database applications; customer service standards and principles; mathematical skill; basic understanding of accounting principles.

Ability to:

Develop and maintain effective working relationships; effectively evaluate a situation or issue and develop sound working solutions; communicate effectively orally and in writing; provide effective and responsive service to department customers and contacts; perform all assigned tasks efficiently and accurately and create and maintain accurate records; possess and demonstrate the required level of proficiency in desktop computers and other assigned software or electronic resources, including word processing, spreadsheets and database applications; learn and utilize Banner or other information systems and databases; create and maintain accurate and up-to-date records.

Work Environment and Physical Requirements

Work is performed primarily in an office environment. Learned physical skill required to perform keyboarding. Minimal physical exertion is usually required.
