FSA Guidelines for Orthodontia Reimbursements
The only orthodontic payments that are eligible for reimbursement through the FSA Plan are the scheduled payments as shown on a contract or a payment schedule. Extra payments and late fees are not eligible.
There are two basic formats to Orthodontic reimbursements. This guideline should help you to decide which format you would prefer to use.
- Manual Reimbursements
- If you require a reimbursement on a specific date of the month; you should submit a copy of a payment schedule or an orthodontic contract with your first Request Form. In subsequent months you may request reimbursement for your orthodontia payment by submitting a completed Request Form each month as your payments come due. By submitting your payment schedule or orthodontic contract the first month you will not need to submit any other documentation with the subsequent Request Forms. We are not able to reimburse payment amounts that differ from amounts shown as due on a payment schedule or an orthodontic contract without further documentation.
- Automatic Reimbursements
- For less paperwork you may opt to receive automatic reimbursements. You must indicate so on a Request Form once each FSA Plan Year. At the beginning of each Plan year send to Manley a copy of your orthodontia contract that states your monthly payment. On the tenth of each month (or the following working day) we will reimburse that month’s payment as stated on the orthodontia contract. You should expect to receive the automatic reimbursement between the fifteenth and twentieth of each month. As you can see, this method requires only one Request for Reimbursement form each year.
With Orthodontia claims you have a choice as to how you will be reimbursed, but remember, if you need to receive reimbursement by a specific date, you will need to submit a Request Form each month to ensure your receipt date. This request should be received by Manley at least one week prior to the date you need to receive reimbursement.
As with all FSA accounts, we cannot release reimbursement in new FSA Plan Years until after we have received the first payroll deductions from your employer. So any ortho claims, either manual or automatic, will not be reimbursed until we receive that first deduction.
