Pathways: MHCC Medical Customer Service Representative

In medical offices, medical customer service representatives greet patients, schedule appointments, and prepare charts for office visits. They also perform the check-out process and collect co-payments. Furthermore, they assist patients over the phone and complete patient enrollment forms using the computer system. Some medical customer service representatives work in medical call centers. Medical customer service representatives have excellent customer service skills, the ability to multi-task while paying attention to details, and the aptitude for working well in a fast-paced environment. Related job titles are medical receptionist, medical secretary, and patient services representative.

This is a two-term, intensive training. The curriculum includes skills, knowledge, and abilities that have been identified as critical for career entry-level positions working as a Medical Customer Service Representative. Upon completion students receive 30 credits. Students take most of their classes during the day on the main campus of Mt. Hood Community College in Gresham and do their externships at area medical offices. In the spring, there is one evening class and one on-line class.

This training covers procedures in a medical office. Topics include: how medical office teams operate within various medical office settings; how rules of etiquette, standards from the Health Insurance Portability and Accountability Act (HIPAA), and ethics are applied to office and telephone interaction; how computers and electronic medical records impact the medical office, how to use multiple telephone lines, and how to communicate appropriately and effectively in writing as well as on the telephone. Students learn how to manage a medical office, organize, and file patient records, and perform bookkeeping procedures.

In addition, the training encompasses procedures in an acute care setting. Students gain information on how departments function independently and together in a hospital. Students learn how to process orders, admission and discharge procedures, and how to manage and track multiple tasks. Students act on reports such as lab reports, x-rays, MRIs, and CTs, and telemetry data.

Students also master communication technologies and information management including Microsoft Office software such as Outlook. Students practice using e-mail, calendaring, and handling contacts. Students improve their keyboarding speed and accuracy. The training also incorporates a study of medical terminology by body systems with related word elements, disease processes, diagnostic tests, and abbreviations as well as an investigation of diversity in healthcare settings.
